AISB -781 Support Officer

We are seeking a highly organized and proactive Support Officer to join a dynamic international environment, contributing to strategic planning, stakeholder coordination, and operational excellence across multiple business functions.

Key Responsibilities

In this role, you will contribute to a wide range of strategic and operational activities, including:

Strategic Planning & Reporting

  • Support the development and improvement of planning frameworks, policies, and internal processes.
  • Assist in translating strategic objectives into actionable plans and monitoring their execution.
  • Prepare analytical reports, dashboards, and insights to support decision-making.
  • Ensure stakeholders are aligned with planning approaches, timelines, and governance standards.

Stakeholder & Communication Management

  • Act as a key coordination point between internal teams and external partners.
  • Manage communication flows, ensuring clarity, consistency, and timely updates.
  • Collect feedback and contribute to continuous improvement of stakeholder engagement practices.
  • Support issue resolution and follow-up actions across multiple workstreams.

Business & Executive Support

  • Coordinate strategic initiatives across departments and functional areas.
  • Organize executive meetings, prepare agendas, and track action items.
  • Monitor progress on key initiatives and escalate risks or issues when necessary.
  • Support senior management with structured reporting and operational updates.

Project & Performance Monitoring

  • Track performance indicators across projects and services.
  • Support project managers in monitoring progress, resources, and delivery timelines.
  • Consolidate reporting data from multiple systems and ensure accuracy and consistency.
  • Contribute to weekly, monthly, and quarterly performance reports.

Office & Administrative Support

  • Coordinate large meetings, workshops, and internal events.
  • Improve administrative workflows and support best practices in office operations.
  • Monitor efficiency of support functions and propose enhancements where needed.
  • Support workforce coordination and administrative alignment across teams.

Profile Requirements

Education & Experience

  • Bachelor’s degree in a relevant field OR equivalent extensive professional experience in a similar support/coordination role.
  • Minimum 2 years of experience in administrative, project support, or management support functions.

Key Skills

  • Strong ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to produce clear, structured reports and presentations.
  • Strong analytical mindset with attention to detail.
  • Experience working with cross-functional teams and stakeholders.
  • Proficiency in Microsoft Office tools and reporting systems.

Desirable Experience

  • Background in project or business process coordination.
  • Experience in resource planning or operational support.
  • Familiarity with budget tracking or financial monitoring.
  • Experience in structured project environments.

Certifications (an advantage)

  • Risk management or structured project management training (e.g., PRINCE2 Foundation or equivalent).

Additional Information

  • Full-time, on-site role based in a professional office environment in Belgium.
  • Required Security Clearance: NATO Secret
